Overview

Designing a better timesheet experience for construction companies

I assessed the timesheet experience currently being used on Foundation Mobile and designed a more robust and efficient tool to streamline the process of foremen compiling their crews' hours for a given date range.

Users already loved Foundation Mobile's timesheet, but by building upon its strengths and targeting key weaknesses, we made a tool that could easily convert Foundation users over to WorkMax.

Foundation Mobile was being sunset, but users wouldn't move to WorkMax without a timesheet feature.

Sunsetting Foundation Mobile, the business wanted to move clients over to WorkMax, to increase MRR, but also in order to retain the customers who needed a timesheet tool.

The Foundation Mobile timesheet experience was well-received by clients, but there was an opportunity to enhance it by reducing clicks and eliminating unnecessary UI elements.

To identify these opportunities, we collaborated with trainers who provided valuable insights into user behaviors, preferences and needs.

Prototypes and Wireframes

I created wireframes and prototypes based on the needs of the current userbase.

V1 Soft Launch

The first version of the WorkMax timesheet was launched to select clients.

We gained insight into missing features and UI that needed refining.

Final Iteration

We conducted high-level user testing to see that the requirements were followed and functioning as expected.

The work

I worked closely with product managers and trainers to define goals.

V1 feedback gave us insight into where our timesheet was falling short, and I was tasked with solving the puzzle.

Through working sessions with stakeholders, we determined the most important features to focus on:

  1. Fit more employees into the screen by minimizing the height of each row
  2. Enable a deeper customization of hours fields by adding optional attributes like pay type and equipment
  3. Establishing a proper visual hierarchy and information architecture based on user preferences

Through identifying these goals I could properly address design patterns that solved these problems in stages.

Project Highlight

A great deal of attention was given to the UI to minimize cognitive load, so I documented the nuances of the styles and components with a mini "design system" and style guide.

Outcomes

WorkMax's timesheet solution was more robust than Foundations, making stakeholders confident in a projected 100% conversion rate

"This is what we should've done with Foundation's timesheet" is a direct quote from our product manager overseeing the initiative.

In addition to the aforementioned improvements, we designated a horizontal scroll area, in the case of many cost codes or small screen sizes.

V1 was based on mockups developed outside of UX, and led to many assumptions and missed opportunities.

After taking a closer look at the problem, following an invaluable round of beta-testing, we came up with a solution that addressed unseen issues, while raising the standards for how our products utilize design in our product development process.

I think this is a great case study on the value that a designer brings to the problem solving stage of a project, preceding the actual creation of mockups.
